Service Buddy Privacy Policy

1. Introduction

This Privacy Policy applies to www.servicebuddy.io and the Service Buddy platform, including the Ruggy Cleaning App (collectively, "Service Buddy," "we," "us," or "our"), and governs how we collect, use, and share information. Service Buddy is an all-in-one management platform for flooring and rug-care businesses, providing customer management, scheduling, proposals, billing and invoicing, inventory, and related services. By using Service Buddy, you consent to the data practices described in this policy.

2. Information We Collect

Information You Provide

To provide you with our products and services, Service Buddy may collect personally identifiable information, such as:

• First and last name

• Email address

• Phone number

• Employer and job title

• Billing and payment information when you purchase products or services (payment card details are processed by our payment processor; we do not store full card numbers)

You may be asked to provide personal information when you register for an account, request a demo, sign up for offers, contact us, or purchase products and services. We use this information to deliver the services you request and to communicate with you about them.

Customer Business Data

When you use the platform to run your business, you and your team may enter information about your own customers, such as names, contact details, job records, rug or flooring details, photos, notes, and transaction records. This data belongs to you. We process it to provide the Services, as described in our Terms & Conditions.

For customer business data, Service Buddy acts as a service provider (or "processor") on behalf of the business customer, which acts as the controller of that data and is responsible for its own privacy notices and for obtaining any required consents. If you are a customer or end user of a business that uses Service Buddy and wish to exercise privacy rights over information that business holds about you, please direct your request to that business; we will assist our customers in responding to such requests as required by applicable law.

Automatically Collected Information

We automatically collect certain information about your device and use of the Services, including IP address, browser type, domain names, access times, pages visited, referring website addresses, and usage data and telemetry about how the Services are used (such as features accessed, actions taken, and performance and diagnostic data). This information is used to operate and secure the Services, maintain quality, and generate usage analytics.

Call & Meeting Recordings

Service Buddy may record video or audio calls and meetings with you (including sales calls, demos, onboarding, and support sessions conducted over Google Meet, Zoom, or similar platforms) for quality assurance, training, and record-keeping purposes. When a call is recorded, the meeting platform’s built-in recording indicator or announcement provides notice, and your continued participation in a call identified as being recorded constitutes your consent to the recording to the extent permitted by applicable law. If you do not wish to be recorded, tell us at the start of the call and we will not record it.

Excerpts of recorded calls in which you discuss Service Buddy or its services (such as feedback and testimonials) may be used in our marketing materials and on social media. We will not publish recordings or excerpts that disclose your private business information or Service Buddy account details, and you may opt out of future marketing uses at any time by contacting us. Recordings are retained only as long as needed for these purposes and are protected in accordance with this policy.

3. How We Use Your Information

Service Buddy collects and uses your personal information to operate, deliver, maintain, and secure the services you have requested; to communicate with you about your account, billing, and support; to inform you of other products or services available from Service Buddy (you may opt out of marketing communications at any time); to conduct analytics, research, and product development; to develop new features and improve the platform and our own algorithms and models, using anonymized, pseudonymized, or aggregated data wherever practicable; to enforce our Terms & Conditions and protect against fraud and abuse; and to comply with legal obligations.

We may create aggregated or de-identified data that cannot reasonably be used to identify you or any individual, and we may use and retain such data for any lawful business purpose, including after account closure.

4. AI Features (BuddyAI)

Some features of the platform, such as BuddyAI, use artificial intelligence to assist with tasks like drafting content and summarizing information. When you use these features, the information you submit may be processed by Service Buddy and by third-party AI service providers acting on our behalf under confidentiality obligations. We may use de-identified usage data to evaluate and improve AI feature quality. We do not permit third-party AI providers to use your data to train their general-purpose models without your consent. AI-generated output may be inaccurate and should be reviewed before use, as described in our Terms & Conditions.

5. Sharing Information with Third Parties

Service Buddy does not sell, rent, or lease its customer lists or your personal information to third parties.

We may share data with trusted service providers who help us perform statistical analysis, send email or postal mail, provide customer support, process payments, host data, provide analytics, or arrange deliveries. These providers are prohibited from using your personal information except to provide services to Service Buddy and are required to maintain its confidentiality.

Service Buddy may disclose your personal information, without notice, if required to do so by law or in the good-faith belief that such action is necessary to: (a) comply with law or legal process served on Service Buddy; (b) protect and defend the rights or property of Service Buddy, including enforcing our Terms & Conditions; or (c) act under exigent circumstances to protect the personal safety of users of Service Buddy or the public.

Business Transfers: If Service Buddy is involved in a merger, acquisition, financing, corporate reorganization, or sale of all or part of its business or assets, personal information may be disclosed to the parties involved and transferred as part of that transaction, subject to the commitments in this Privacy Policy.

6. SMS / Text Messaging

If you opt in to receive text messages from Service Buddy (for example, for account registration, booking confirmations, or invoice notifications), you consent to receive recurring automated messages at the number you provide. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Consent to receive text messages is not a condition of purchasing any goods or services.

No mobile opt-in information or telephone numbers collected for SMS purposes will be shared with or sold to third parties or affiliates for marketing or promotional purposes.

7. Cookies & Tracking

The Service Buddy website uses "cookies" — small text files placed on your device — to help personalize your online experience, keep you signed in, remember your preferences, and understand which parts of the Services are most used. We may also use cookies and similar technologies (including pixels and third-party analytics providers) for analytics and, on our marketing website, advertising measurement.

You can accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser settings to decline them. If you decline cookies, some interactive features of the Services may not function fully. Our website does not currently respond to browser "Do Not Track" signals.

8. Security of Your Personal Information

Service Buddy uses commercially reasonable safeguards to protect your personal information from unauthorized access, use, or disclosure, including encryption of data in transit (TLS/SSL) and at rest. However, no data transmission over the internet or wireless network can be guaranteed to be 100% secure. While we strive to protect your personal information, you acknowledge that there are security and privacy limitations inherent to the internet that are beyond our control, and we cannot guarantee the security, integrity, or privacy of information exchanged over the internet.

9. Data Retention & Deletion

We retain personal information for as long as your account is active and as needed to provide the Services, resolve disputes, enforce our agreements, and comply with legal obligations. Following account closure, customer data may be exported for 30 days and is then permanently deleted, except where retention is required by law (for example, for tax, accounting, or legal compliance purposes) or where the data has been aggregated or de-identified.

On receipt of a verifiable deletion request, we will delete your personal information from our records and direct our service providers to do the same, unless the information is necessary to complete a transaction or provide a service you requested, detect and protect against security incidents or fraud, debug and repair errors, comply with a legal obligation, enforce our agreements, or for other purposes permitted by applicable law.

10. Your Rights: Access, Correction, Deletion & Portability

You have the right to access, correct, delete, or obtain a copy of your personal information stored by Service Buddy. To exercise any of these rights, contact us at accounting@servicebuddy.io or call (617) 245-1766. We will verify your request and respond within the timeframe required by applicable law. We will not discriminate against you for exercising your privacy rights.

11. California Residents

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), gives you specific rights, including the right to know what personal information we collect, use, and disclose; the right to request deletion of your personal information; the right to correct inaccurate personal information; the right to opt out of the sale or sharing of personal information; and the right not to be discriminated against for exercising these rights.

Service Buddy does not sell your personal information and does not share it for cross-context behavioral advertising, as those terms are defined under the CCPA. In the preceding 12 months, we have collected the categories of personal information described in Section 2 for the business purposes described in Section 3, and disclosed them only to the service providers described in Section 5. To exercise your California privacy rights, contact us using the information in Section 10; you may designate an authorized agent to submit requests on your behalf.

12. Other U.S. State Privacy Rights

Residents of other states with comprehensive privacy laws (including Colorado, Connecticut, Texas, and Virginia) may have similar rights of access, correction, deletion, and portability, and the right to opt out of targeted advertising and sales of personal data, to the extent those laws apply to Service Buddy. You may exercise these rights using the contact information in Section 10. If we decline to act on your request, you may appeal by replying to our response.

13. International Users & Cross-Border Transfers

Service Buddy is operated from the United States, and your data may be stored and processed in the United States or other countries. Where we transfer personal data internationally, we use appropriate safeguards, such as standard contractual clauses.

If you are located in the European Economic Area or the United Kingdom, we process your personal data on the following legal bases: performance of a contract, our legitimate interests in operating, securing, and improving the Services, your consent, and compliance with legal obligations. You may have additional rights under the GDPR or UK GDPR, including the rights to access, rectify, erase, restrict, or object to processing, data portability, and the right to lodge a complaint with your local supervisory authority. To exercise these rights, contact us using the information in Section 10.

14. Children Under Thirteen

Service Buddy does not knowingly collect personally identifiable information from children under the age of thirteen. If you are under the age of thirteen, you must ask your parent or guardian for permission to use this website. If we learn we have collected personal information from a child under thirteen, we will delete it.

15. Email Communications

From time to time, Service Buddy may contact you by email to provide announcements, promotional offers, alerts, confirmations, surveys, or other general communications. To improve our Services, we may receive a notification when you open an email from Service Buddy or click a link in it.

You may opt out of marketing or promotional emails at any time by clicking the unsubscribe link included in every such email, or by contacting us at accounting@servicebuddy.io. We will continue to send transactional messages related to your account (such as invoices and service notifications).

16. Connecting & Disconnecting Third-Party Accounts

You may connect your Service Buddy account to third-party accounts (such as QuickBooks or Stripe). By connecting a third-party account, you consent to the ongoing exchange of information between Service Buddy and that third party in accordance with your settings on the third-party service. If you do not want information about you shared in this manner, do not use this feature. You may disconnect a third-party account at any time through your customer portal, or by contacting us by email or telephone.

The Services and our website may also contain links to third-party websites and services. Service Buddy is not responsible for the privacy practices or content of third parties; we encourage you to review the privacy policies of any third-party sites you visit.

17. Changes to This Policy

Service Buddy may update this Privacy Policy from time to time. For material changes, we will notify you by email to the primary address on your account and by posting a prominent notice on our website before the change takes effect. Your continued use of the Services after the effective date of a revised policy constitutes your acknowledgment of, and agreement to, the revised policy.

18. Ruggy Cleaning App

Ruggy is part of the Service Buddy platform and follows the same privacy and data protection standards described in this policy. When you use Ruggy, we collect and process data in the same secure environment as Service Buddy.

Information Collected Through Ruggy

• Customer names, contact details, and service preferences

• Rug details, notes, tags, and associated photos

• Job and cleaning data (inspection notes, fiber type, damages, etc.)

• Payment and transaction-related information when processed through Service Buddy

• Device metadata necessary to operate Ruggy (e.g., device type, app version, crash reports)

Ruggy may request permission to access your device’s camera, photo library, or file storage solely for attaching images to job records. This data is used exclusively within your Service Buddy account and is not shared with third parties except as required for platform functionality (e.g., secure payment processing or hosting providers).

We do not collect biometric, geolocation, or background data through Ruggy. All information entered in Ruggy is encrypted in transit and at rest and is governed by the same retention, deletion, and access rights outlined in this Privacy Policy.
